Concept
RailScanPro separates your personal account from the organization you are currently working in. Your personal account owns sign-in and Crew Card identity. Your organization owns shared inventory, railroad settings, subscription, team membership, RailCommand layouts, reports, and public-facing railroad settings.
If you belong to more than one organization, the organization you've selected decides where new items, layouts, reports, and operating data land. That data does not automatically move between organizations, so confirming the current organization first is the single most important setup habit.
How To
Confirm the current organization in the top navigation or profile menu before editing settings or adding data.
- Open Settings at
/app/settings, then use/app/settings/profilefor first name, last name, email, phone, bio, and profile photo. Your public Crew Card is at/app/profileand is read-only; edit the profile from settings. - Use
/app/settings/organizationfor organization name, type, contact details, and address. - Use
/app/settings/railroadfor railroad or layout name, primary scale, era, prototype theme, and layout status. - Use
/app/settings/securityfor personal account security and/app/settings/organization-securityfor organization security policy, session timeout, IP restrictions, data export controls, activity monitoring, and recent login events. - Use
/app/subscriptionfor current plan, usage, billing cycle, upgrades, cancellation, and plan features. - Use
/app/settings/organization-integrationsfor organization integrations; JMRI uses/app/settings/integrations/jmri. Use/app/settings/public-pageto create or manage a public railroad page when your plan includes it.
Troubleshooting
You do not see an expected settings control - Confirm you are in the correct organization and that your role includes owner or admin access. Organization-level settings are role-gated.
New items or layouts appear in the wrong place - Check the organization switcher. Data is scoped to the organization that was active when you created it, and it does not move automatically.
Subscription changes affect the wrong workspace - In a club or museum, confirm you are managing the shared organization's subscription rather than a personal one.
Safety Notes
Be deliberate with organization security. A mistaken IP restriction or data export control can lock legitimate users out of the organization's workflows. Review /app/settings/organization-security changes with a second owner before applying them to a shared club or museum organization.
