Exporting Your Data

Last updated: July 3, 2026

RailScanPro lets you export inventory data from Asset Management so you can keep a backup, analyze the collection in a spreadsheet, or prepare reports.

Open Export

  1. Sign in and confirm the correct organization.
  2. Open /app/asset-management/import-export or /app/asset-management/export.
  3. Choose the export options available for your account.

The Import/Export hub loads your current organization inventory and provides export controls for collection data.

Review Export Options

Depending on the current workflow and enabled features, export options can include:

  • Core inventory fields.
  • Photos.
  • Valuations.
  • Maintenance log data.
  • Saved export templates.

If an option is missing, confirm the item type, organization, and plan or beta access.

  1. Export your inventory after major cataloging sessions.
  2. Keep a dated copy outside RailScanPro.
  3. Export again before large imports or bulk edits.
  4. Keep photos backed up separately when you are documenting high-value items.

Export for Insurance or Review

For insurance or club/museum review, make sure important records have:

  • Clear primary photo.
  • Manufacturer and model number.
  • Road name, reporting mark, and road number.
  • Scale.
  • Condition.
  • Purchase price or current value when known.
  • Notes about modifications, provenance, or damage.

Then use the export or print/report routes that match the document you need.

Data Rights

Your inventory data is your data. Use exports to keep a copy, prepare a report, or move information into another tool.
