Setting Up Your Railroad Profile

Last updated: July 3, 2026

Your railroad profile tells RailScanPro what kind of railroad or collection you are working with. It helps the app choose better defaults, helps Casey answer with better context, and gives RailCommand and reports a clearer operating picture.

Where to Find It

Open Settings at /app/settings, then open Railroad Profile at /app/settings/railroad.

If you are in a club, museum, or beta organization, confirm you are working in the correct organization before changing settings.

Set the Basics First

Start with the fields that shape the rest of the product:

Field Why it matters
Railroad or layout name Appears in reports, operating context, and places where the app identifies your railroad.
Primary scale Helps with inventory defaults and model railroad context.
Era or time period Helps Casey, recognition, and operating guidance stay aligned with your prototype or freelanced setting.
Prototype road or theme Useful when you model a real railroad, region, industry, or freelanced concept.
Layout status Helps distinguish a working layout, a collection, a club railroad, a museum setting, or a railroad still in planning.

For beta testing, enter real but non-sensitive details. Avoid putting private addresses, access codes, or personal notes into public-facing fields.

After the railroad profile is saved, review these areas as needed:

  • Organization settings at /app/settings.
  • Public page settings at /app/settings/public-page if your railroad will be visible publicly.
  • Integrations at /app/settings/organization-integrations or integration-specific pages such as /app/settings/integrations/jmri.
  • Export settings at /app/settings/export when you need backups or data movement.

How Other Features Use This Profile

The railroad profile supports several product areas:

  • Asset Management can use scale, era, and railroad context when you add or review items.
  • Casey can answer product and railroad questions with better context.
  • RailCommand can align layout, operations, hardware, and session setup with the selected railroad.
  • Reports can include the correct railroad identity and collection context.
  • RSP-U can make onboarding and role training easier to connect to your real use case.

Beta Testing Notes

When validating setup, test this small loop:

  1. Save the railroad profile.
  2. Return to /app/home.
  3. Add one item from /app/asset-management/add.
  4. Ask Casey a question that includes your scale or railroad name.
  5. Report any missing, stale, or confusing profile behavior at /app/feedback/report-bug.
